About the role:
Provide administrative, organizational, and operational support to factory top management team to ensure the efficiency of daily business operations. As a Management Assistant, you will play a key role in coordinating office activities, supporting top management, and ensuring smooth communication across departments.

The impact you’ll make:
- Manage incoming phone calls and emails, ensuring timely and professional responses.
- Organize agendas, schedule meetings (including internal events and webcasts), and prepare meeting minutes.
- Draft letters, emails, office documents, and PowerPoint presentations.
- Coordinate travel arrangements and planning for both management and employees.
- Support basic financial administration, including expense reconciliation and Purchase Order creation.
- Handle sensitive, complex, and highly confidential information with discretion.
- Assist with daily administrative tasks to ensure smooth office operations.
- Prepare reports, presentations, and internal documentation.
- Coordinate communication between departments to enhance workflow and efficiency.
- Manage and verify invoices related to employee transportation services.
- Liaise with service providers and ensure all operational processes run smoothly.
- Organize internal events and holiday gatherings, including logistics coordination with vendors and internal teams.
- Oversee the company vehicle fleet: maintenance, registration, insurance, and legal compliance.
- Maintain records for fuel usage, mileage, and driver assignments.
- Act as a backup for the receptionist, ensuring coverage and support when required.
The skills and knowledge you’ll bring:
- Solid Experience in administrative, secretarial, or executive assistant roles gained in big size, international company.
- Strong ability to work independently and manage time effectively.
- Professional, calm, and confident demeanor with a flexible and adaptable approach.
- Proficiency in office software and tools required for administrative tasks.
- Fluent in Romanian and English, with strong written and verbal communication skills.
- Initiative, time management, and problem-solving abilities.
- Excellent organizational and coordination skills.
- Ability to handle multiple tasks with attention to detail and accuracy.
